Support Jobs
Committee/support jobs are essential to the smooth operation of the Co-op. Each family is responsible for either serving on the Board of Directors or filling one support job each year. Jobs are typically selected during the summer and are held until the end of the school year. While the basic framework for support jobs is consistent year to year, there may be specific jobs created or eliminated each year based on the needs of the school and the talents of the community.
Committee/support jobs for the 2008-2009 school year are as
follows:
Board Positions
Board Members are expected to attend scheduled Board meetings
(typically once a month). As stated in the bylaws of the AACNS, a Board
member may be removed after two absences.
PRESIDENT Fosters a sense of
community for membership. Gathers committee reports; composes and posts
agenda one week prior to Board meetings. Delegates and appoints Board
committee members. Presides at Board meetings and meetings of general
membership, including orientation. In conjunction with Director, acts
as a spokesperson and representative of the school to the larger
community.*One-year Board position as President; one-year Board
position as Past President, and one-year Board position as
President-Elect.
PAST PRESIDENT Works closely
with the President on school business. Participates on special
committees as needed. Takes an active role in special projects. Advises
President and Board and provides continuity.*One-year Board position
(see above).
PRESIDENT-ELECT Works closely
with President on school business. Chairs Board meetings in President’s
absence and participates on various committees as needed and deemed
appropriate. *One-year Board position as President-Elect; three-year
commitment to the Board.
V.P. FOR ADMINISTRATION Plans and coordinates fall school orientation in conjunction with the Director. During the summer, updates members’ handbook, communicating with the office and staff. Administers and analyzes parent surveys in coordination with office and Board President.*One-year Board position.
SECRETARY Takes minutes at Board
meetings and distributes copies to Board members, advisory council, and
trustees. Posts dates of upcoming Board meetings and current minutes
for Co-op membership and Board members. Updates listserv calendar with
Co-op community events. Writes Board briefs for newsletter. Arranges
for purchase of school stationery as necessary. *One-year Board
position.
SUPPORT JOB COORDINATOR Assigns
and coordinates Co-op support jobs in conjunction with Director and
President-Elect. Acts as a facilitator and troubleshooter for the
membership with regard to support jobs to ensure the smooth running of
the Co-op.*Two-year Board position.
PUBLIC RELATIONS CHAIR
Advertises the needs of and disseminates information about the Co-op to
print, radio, and television media. Works closely with various
committees and the office to ensure successful community
awareness/support, which may include, but is not limited to, writing
newsletter articles about special events and thank you notes to
contributors, and working along silent auction committees for printing
needs. Maintains and updates alumni database and mailing
labels.*Two-year Board position.
FUNDRAISING CHAIR Takes an
active role in brainstorming and planning fundraising events. Updates
and coordinates with the office regarding fundraising ideas, events,
and dates. Consults with Financial Chair. Coordinates, attends, and
facilitates the work of the fundraising committees (e.g., Silent
Auction, Spring Fair, T-shirts) and reports back to the office and the
Board. *Two-year Board position.
BUILDING & OPERATIONS
COORDINATOR Acts as a liaison between the
Board and the Building and Operations Committees. Coordinates
playground and classroom safety and repair; workdays; and grounds and
fence maintenance. Responsible for supervising three monthly scheduled
workdays each school year. These are normally held on a Saturday from 8
until 12:00 noon.*One-year Board position.
ADVISORY COUNCIL Serves in an advisory capacity on the Board. Includes Community Advisors and Alumni Liaison.
Room Representatives (all classes)
ROOM REPRESENTATIVES (6) In coordination with the teacher, organizes helping parent calendar and schedules room meetings. Is available or arranges for a substitute teacher when necessary. Sets up system of class communications (usually email or listserv). Serves as the class liaison for sharing information about Silent Auction, Spring Fair, and other school-wide events. Helps arrange summer playgroups for families to meet each other and/or stay in touch.
Administrative
HEALTH OFFICER Collects and
files student health forms and immunization records. Ensures that
student folders are current before the school year begins. Maintains
first aid kits. Delivers health talk at parent orientation. Medical
background or knowledge is desired.
FINANCIAL CHAIR (1) Arranges meetings and communications with Grant Writer and Foundation Liaison. Reports to Community Advisors to update financial standings to the Board. Advises the Fundraising Chair regarding the financial needs and goals of the year. Maintains communication with the Director.
GRANT WRITERS (2) Coordinates the submissions of grants from start to finish, including determining grant prospects, searching out applicable grants, drafting, and revising. Stays in communication with the office and Financial Chair regarding ideas and prospects.
AACNS FOUNDATION LIAISON (1) Maintains information and ideas regarding the AACNS Foundation. Works with Financial Advisor Chair and Grant Writer to plan immediate as well as long-term financial solutions.
AACNS FOUNDATION CHAIR (1) Provides leadership of AANCS Foundation. Sets milestones for achieving Foundation Vision and Financial Goals.
V.P. FOR ADMINISTRATION ASSISTANT
Assists the V.P. for Administration in planning and
coordinating fall school orientation, updating the handbook, and
administering and analyzing parent surveys.
Publicity/Outreach
NEWSLETTER Solicits and edits
articles for newsletter. Arranges layout, organizes for printing, and
places newsletter in Co-op mailtubes. Coordinates with the Director.
COMMUNITY-BUILDING COORDINATORS (2)
Responsible for organizing a Back-to-School Night, monthly
coffees/socials during school day, and several evening socials.
Coordinates volunteer assistance for these events. Consults with office
regarding dates and ideas.
WEBMASTER Maintains web site and
e-mail list as per office requests. Helps solicit advertising for the
directory.
DIRECTORY Compiles and prints
annual staff and family directory prior to the school year.
DIRECTORY APPRENTICE/SALES Solicits and compiles advertising for the directory. Learns ropes of directory to take over following year.
Fundraising
HOSPITALITY COORDINATOR (1) AND (3)
ASSISTANTS Coordinates the food and
beverages for Co-op events. Works with Event Planners to coordinate the
Silent Auction environment and food.
SILENT AUCTION DONATION AND DATA ENTRY (1) AND APPRENTICE
(2) Enters Silent Auction donation items
into computer database and creates bid sheets and a database for thank
you mail-outs. Works closely with Donation Procurers on accurate bid
sheets for items.
SILENT AUCTION DONATION PROCURERS (7) Responsible for getting 10 donations each for the Silent Auction. Intake auction items from membership and work with data entry committee to produce accurate bid sheets. Mount bid sheets with accompanying pertinent information about items. Work with Event Planners to coordinate items for auction.
SILENT AUCTION CO-CHAIR/DONATIONS (1) SA Co-Chair/Donations works closely and alongside the Co-chair/Event, with the office and Fundraising Chair, to establish procurer meetings, auction timelines, and communications to the broader Co-op.
EVENT PLANNERS (2) Work closely with Hospitality Committee and Donation Procurers to plan and prepare Silent Auction event. Communicate with Co-op community regarding the event and ways to help.
SILENT AUCTION CO-CHAIR/EVENT (1) Maintains connection with Co-chair/Donations to ensure smooth transition from donation-gathering to auction. Works closely with and reports to the Co-chair/Donations, Fundraising Chair, and office to establish timelines and communications, ideas and progress.
SPRING FAIR COMMITTEECHAIR (1) AND MEMBERS (4) Coordinates Spring Fair. Individual positions within this group are: (1) chair (2) food coordinator, (3) class booth coordinator, (4) entertainment and vendor coordinator, and (5) ticket and volunteer coordinator. Reports to Fundraising Chair and office regarding ideas and progress. Coordinates with Public Relations Chair to publicize event.
T-SHIRTS COORDINATOR (1) AND APPRENTICE (1) Coordinates distribution and sale of T-shirts and other logo items—one in the fall and one in the spring. Communicates times and ideas with the office and Fundraising Chair. Also handles Small Fry.
Building and Operations
HOUSEKEEPING
COORDINATOR (1) Organizes towel/napkin washing,
drying, and folding on site; keeps common areas and kitchen tidy.
PLAYGROUND
COORDINATOR Works with Director and Building and
Operations Chair to determine committee tasks. Schedules playground
enhancements and regular maintenance tasks. Communicates with and
coordinates Playground Committee members regarding daily playground
checks and other workdays.
PLAYGROUND COMMITTEE
(3) Works under direction of Playground Coordinator.
Keeps playground clean/orderly on a regular basis. Conducts daily
safety check of playground and logs results. Does routine repair work
as needed (fence/ decks/equipment/etc.). Treats for ants/wasps/etc. as
needed.
LANDSCAPE COORDINATOR (1)ASSISTANTS (3)
Coordinates new landscaping installation and communicates with
and schedules committee members for landscape maintenance.Works with
Landscape Coordinator to implement and maintain installations and
ideas. Includes weeding, mowing, watering, leaf raking, and bagging as
needed. There will be two landscape-only workdays scheduled in the fall
and two in the spring.
WORKDAY ASSISTANTS (2)
Assists Building and Operations Coordinator in planning and
coordinating monthly workdays. Each assistant is responsible for
supervising three monthly scheduled workdays each school year. These
are normally held on a Saturday from 8 until 12:00 noon.
